One of the most significant commonalities among my coaching clients is that most of them do not have a real, live, business and marketing plan in writing to make themselves accountable to growing a profitable Virtual Assistant practice. Not to mention that many either don’t use, or don’t have enough to protect themselves in a contract or agreement with their current clients.

<div style="margin-bottom:0in;margin-bottom:.0001pt;line-height:

I know, it seems like it’s just too much work to do something formal, or maybe you just don’t know where to start. Won’t your clients have a contract for you to sign if you needed to worry about one?

<div style="margin-bottom:0in;margin-bottom:.0001pt;line-height:

That’s what I used to think, too. But I found out the hard way, after three to four years in business, that not having these plans in place simply meant I was inconsistent with my marketing and the way I ran my business. I had no goals, so no way to determine whether or not I was creating a profitable business, and I lost a whole lot of money because I didn’t have a contact in place that protected me from non-payment, client project copy errors, and a whole lot more.

Before we go any further, let’s agree that you’ve done nothing wrong; that you started this business because you had superior talents to offer prospective clients; and that you just need to find the knowledge and establish a system that will provide the results that haven’t been a part of your success, no matter what you do or try.

Like most industries, raising your rates is a delicate process that many virtual assistants and small business owners fear. While understanding what prospects are willing to pay for your particular product or service is key to growing and maintaining your business, sometimes it’s as easy as learning that you need to generate a certain amount of business at certain fees in order to keep afloat.

We’ve looked at packages as an alternative to actually having to disclose your rates, to help clients get a better feel for what can be accomplished in a certain amount of time, or to complete a certain project, but it still needs to be based on a rate that allows you to keep your business running, while providing you with the income necessary to live a reasonable lifestyle.

I’m sure you, and your clients have noticed that everything is on the rise, gasoline prices, food, healthcare, etc., requiring you to adjust the way you do business in order to remain profitable.

Here are my seven tips to help you raise your rates:

How much do you want to make? Decide how much money you want and need to make, both on a personal level and to manage to save some money to keep your business going and take on new ventures.

Fees should be based on your level of expertise, especially if you are providing services. Those who have lots of experience, perhaps continued education and certifications, not to mention maintaining expensive software programs, can and should charge higher rates. If you’re like me and consistently increasing your experience through trainings, and special programs, you should be charging a higher rate than many others who don’t take the time.

Don’t let the fear of losing business stop you from raising rates – We’ve all had those nagging thoughts about all of our clients taking their business elsewhere if we even consider raising rates, or maybe you believe you’re not worth it – whatever the case might be, know that you provide a valuable service or product (or you wouldn’t be in business) and you won’t lose much, if any business when you increase your pricing – at least that’s what most people have indicated, and what I have experienced over the many price increases I’ve taken.

Like creating packages, your fees should represent the value and benefit of the results you provide to the client. If you’re solving an important issue or problem in their business, they’ll be willing to pay an appropriate fee.

Test the market first. Many times before I plan to take an increase I will test the market by quoting a higher rate to a prospect, just to see if the market will bear my new rate. As I continue to quote the higher rate to new clients it helps me to substantiate taking the increase across the board. Many times I will give current clientele 6-months at the old rate before it takes effect for them. This is a great way to let them know you care and want to earn their business for many years to come.

Evaluate your current client base. We all have a few clients that we hang onto because we really like them, but they are not profitable to our business. Remember, you are in business to make money, this is not personal. Let them be the first to approach with your price increase. If they are not willing to continue working with you at the higher rate, they really weren’t the right client for you anyway. You were wasting your valuable time on the wrong type of client. Offer to refer them out to someone else who is able to provide them with the products or services they need at a price they can afford. This will free up your time to find new, more profitable clients.

Check the competition – look at some of your competitors and find out what kinds of rates they’re charging to be sure you are not really behind the market on pricing. Try to compare yourself to someone who has the same level of expertise so that you’re taking a look at someone who would be equal to what you’re able to produce and, if you find several people at the same level of expertise with a wide range of rates, check to be sure they’re doing the same kind of work/projects you do, as well as, how the different rates may average out.

This is a great time to take a close look at your rates and packages and decide what will serve you and your clients best.

<div style="margin-bottom:0in;margin-bottom:.0001pt;line-height:
<div style="margin-bottom:0in;margin-bottom:.0001pt;line-height:

I hired a second VA, Lee Drozak, to help me with my coaching club website and online payment system. Terri really got Positivity Girl™. And Lee understood how to support my work on my coaching club.

When hiring, I looked for someone [who gets me] and someone I could easily communicate with. I don’t expect my VA to be available 24/7. But I do want emails and calls to be answered quickly. I also want to feel that my VA is closer to being a partner, rather than being someone on whom I’m dumping work I don’t want to do. I appreciated the glowing testimonials about Terri and Lee from other women who had hired them.

[I'd advise] anyone who’s considering this career to be very clear about how you can help your clients. Don’t overstate your abilities. I would definitely hire a new VA, but I would want to know that she is new. In fact, as long as she can do what she says she can do, the fact that she’s just getting started would be a selling point, as I like to help new businesses. Also, find out exactly what the client’s expectations are and be clear about your boundaries. I imagine some clients would have unreasonable expectations. But you can prevent misunderstandings by clarifying expectations and boundaries upfront.

As we have touched on previously, you are totally in charge of, and responsible for, everything that happens in your business. So what are your expectations? What do you hope to achieve? What do you do to stay current with the industry? Do you know or understand where the industry is headed?

In order for us to have great expectations for our business, we have to know where we are going? If it’s only about making a buck, you have to think bigger.

It’s about leaving your mark not only as an entrepreneur, but as a VA and a part of the Virtual Assistance industry. It’s also about having an exit strategy.

I know, that sounds silly. Why would you need an exit strategy? Well, unless you plan to work your practice until the day you die, you will need to have an exit strategy. A part of that exit strategy will be a plan for either closing, or selling your business.

If your expectations are low, if you’ve never really planned for your retirement, or the sale of your business, what happens to your clientele? Do you think you’ll just work for them until they retire and then close your doors?

Even if that’s the plan, you need to create and develop that plan in order for you to meet the expectations your clients will come to demand. If you don’t take the business seriously, or create a plan and strategy for growing and exiting your business, you will be doing yourself, and your clients, a huge disservice.

Some of this has to do with time, and time management. Surveys with top executives and CEOs of Fortune 500 companies indicate that the average corporate CEO actually logs less than 90-minutes a day of genuinely productive time. And I would suggest that entrepreneurs have even bigger problems with managing time than do those in the corporate world. Clearly, you will need to find ways to make your time more productive than you have in the past, and doing all the work yourself may be a big part of the problem.

I’m not necessarily talking about the client work; that is most likely what you enjoy doing the most, and where you most often attach your expectations. But truth be told, it’s the business expectations that will make or break you over the long haul. So delegate your workload, too.

Do you have a business plan? How about a marketing plan? You need to.

Neither needs to be long and involved. It should be something that identifies why you’re in business, and what you want that business to look like and how you’ll market it to get it where you wanted it to go. This exercise will help you to focus on what you really want and need in your business to continue to grow that business in a way that fits your current and future needs.

And it’s not just something that you put in writing and file away never again to see the light of day. It should be a living, breathing forecast that you update and change once or twice a year as the industry and your business continue to evolve.

So realize that you must change your mindset and be willing to do things differently in order to move your business forward.

Remember if you keep doing what you’re doing, you can only expect more of the same. However, if you be authentic , if you try and make a difference, and know that doing small changes can make a BIG difference, you will be well on your way to claiming the life you want and deserve.

Life on both a personal and professional level is going to throw you plenty of lemons. How you handle those situations will make or break your business. As we discussed earlier, if you look at each challenge you are faced with, in both your personal and professional lives, as an opportunity to grow and learn, all your lemons will become lemonade in a very short time.

Don’t give in to those challenges that can’t be solved. What does that mean? Well, have you ever heard the saying, “the customer is always right”? Do you believe that statement?

Most people who have worked in their own business, or in the corporate world would probably tell you that isn’t a very accurate statement, the customer is many times, ‘not right’, but, ethically speaking, there are those people whom you will never satisfy, who will never find pleasure, and will never be convinced that they haven’t been wronged in some way.

Yes, there are unethical people out there, but what I believe is this – if they are unethical, then no matter what you say or do to try and fairly resolve a situation, they will most assuredly only see it their way, and only be satisfied with a total refund of anything they paid, but with the ability to keep the product or result of the service, too.

It happens, and one of the hardest things to do is to, listen, let them vent, and walk away. Give them the refund, don’t charge them for anything. Complete the service you promised, even though they don’t deserve it.

Because if they are unethical, then they’re going to bad mouth you all over town, or the Internet, or in as many ways as they can think of, and believe me when I say, unethical people know many ways to be evil, it’s simply their nature.

So take the high road, don’t lower yourself to their level, let them rant, let them lie and deceive and put a spin on things so they seem to be in the right, and give them what they want, even if it means you refund all of their money and let them have what they don’t deserve.

Then sit back, and enjoy the lemonade, knowing that you saved yourself from having to continue to deal with someone who is unethical and could ultimately damage your reputation, should you try to make them do what’s right.

It’s not about what’s right or wrong, it’s about their perception of what’s right or wrong, and you’re much better served to take the hit and sever the relationship so that you know you won’t be associated with them in any way in the future.

Jeannine Clontz, provides professional business coaching to established and start-up virtual assistants (VA’s). Learn more about Time Management for Virtual Assistants by downloading her FREE report “A Fresh Look at Time Management for Virtual Assistants”, or request her FREE audio CD “What’s Holding Back my Business Success?”, and more by visiting: http://www.VAbizcoach.com; or contact her at: coach@VAbizcoach.com.
